PRIVACY POLICY
The West Sussex Archives Society (WSAS) is a registered charity no. 266997. Its purpose is to support the West Sussex Record Office in saving and preserving the archival heritage of West Sussex.
1. What personal data we collect
WSAS collects personal data supplied by its members and others applying to attend our events or requesting information. This data may include any or all of the following: name, address, email address, telephone number, joining date and method of payment (cheque, cash or standing order). We also collect information from members who agree to Gift Aid their subscription.
2. What we will do with the data
WSAS will use this data to:
- Process a subscription or donation
- Process a request to attend an event
- Reply to requests for information
- Send notifications about WSAS, including newsletters and publications
- Supply reports for the WSAS newsletter
We do not share your data with third parties.
3. Storage and retention of data
WSAS will store members’ data on a secure database held by our membership secretary. Other committee members will access the relevant parts of this information as necessary to enable them to contact you about events and to send out newsletters and publications. The data will be kept up to date in accordance with information you supply to us. We will delete all your information from the database as soon as we become aware that you no longer wish to continue your membership. We will retain members’ names and addresses, where supplied for Gift Aid, for the statutory length of time specified by HMRC . Data supplied to us by non-members will be retained and stored securely for the length of time necessary for the purpose for which it was supplied.
4. Submitting a request to see your personal data
You may, at any time, request a copy of your personal information, held by WSAS,
by writing to W.S.A.S. c/o County Hall, Chichester, West Sussex, PO19 1RN or using the contact form.
